Administrator – Finance Operations

ROLE OVERVIEW

PURPOSE OF JOB

JTC Poland was established after Citi Trust was acquired by JTC Group on 1 July 2025 and is located in the heart and centre of Warsaw. As a part of this team, you will be shaping new processes, supporting business growth and driving operational excellence.

We are seeking an Administrator to support our Group Finance department, with a primary focus on the Accounts Receivable (AR) function.  

This is an excellent opportunity for an individual interested in gaining their first experience in the financial services industry.

The role will involve assisting with the billing processes across multiple jurisdictions, helping to ensure accuracy, compliance, and efficiency. The Administrator will support billing operations, help resolve billing queries, and assist the finance team in meeting business objectives in a timely and compliant manner.  

MAIN RESPONSIBILITIES AND DUTIES

  • Assist with billing processes across multiple jurisdictions, ensuring accuracy and compliance.
  • Prepare and review invoices, supporting daily operational tasks such as onboarding new clients and handling sales ledger queries.
  • Liaise with client administration teams to meet deadlines and uphold Service Level Agreements.
  • Help resolve billing discrepancies and maintain accurate billing records and documentation.
  • Process government license fee reconciliations and client entity closedown requests.
  • Support annual fee reviews and implementation of fee changes.
  • Assist with government license fee reconciliations in coordination with the relevant registry.
  • Any other duties as deemed necessary by Management.

ESSENTIAL REUIREMENTS

  • University degree in Finance, Accounting, Business Administration, or a related field preferred.
  • Studying towards professional certifications (e.g., AAT, ACCA, CPA) are an advantage.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) is essential.
  • Excellent attention to detail and a high level of accuracy in processing a large volume of transactions.
  • Strong problem-solving abilities and an analytical mindset.
  • Ability to manage multiple tasks, prioritise workload, and meet tight deadlines in a fast-paced environment.
  • Excellent proficiency in both spoken and written English.
  • Strong communication and interpersonal skills, with ability to build relationships across different jurisdictions, functions and with external stakeholders.
  • Strong team player with excellent interpersonal skills and ability to collaborate effectively.
  • Experience in training or mentoring team members is highly desirable.
