Assistant Administrator – Finance Operations

ROLE OVERVIEW

PURPOSE OF JOB

JTC Poland was established after Citi Trust was acquired by JTC Group on 1 July 2025 and is located in the heart and centre of Warsaw. As a part of this team, you will be shaping new processes, supporting business growth and driving operational excellence.

We are looking for an Assistant Administrator to join our Group Finance department, with a primary focus on the Accounts Receivable (AR) function.

This is an excellent opportunity for a candidate seeking to build early career experience in finance, accounting or financial services within an international organisation.

The Assistant Administrator will support the team with day-to-day operational activities, primarily related to monitoring bank account activity, allocating incoming payments and assisting with the reconciliation of client settlements against outstanding invoices. The role will also provide support during weekly and month-end reconciliation processes.

This position is well suited to a detail-oriented individual who is keen to learn, able to work accurately with high volumes of data and comfortable collaborating with colleagues across teams.

MAIN RESPONSIBILITIES AND DUTIES

  • Perform the monitoring of assigned bank accounts and assist with recording incoming client payments against outstanding invoices.
  • Process and allocate receipts accurately and in a timely manner.
  • Liaise with client administration teams and internal stakeholders to confirm payment details and assist in resolving routine queries.
  • Perform weekly and monthly bank reconciliations, including identifying and escalating discrepancies where appropriate.
  • Maintain accurate records and ensure supporting documentation is complete and up to date.
  • Support the preparation of reports and basic finance-related data for management and internal stakeholders, as required.
  • Provide day-to-day administrative and operational support to other members of the cash allocation / accounts receivable team.
  • Contribute ideas for improving processes, controls and team efficiency.
  • Carry out any other duties as may reasonably be required by Management.

ESSENTIAL REQUIREMENTS

  • Higher education in Finance, Accounting, Economics, Business Administration or a related field, are an advantage.
  • Good working knowledge of Microsoft Office, especially Excel and Outlook.
  • Strong attention to detail and accuracy.
  • Good organisational skills and ability to manage routine tasks effectively.
  • Willingness to learn and develop within a finance function.
  • Good analytical and problem-solving skills.
  • Ability to work to deadlines and manage priorities in a structured environment.
  • Excellent proficiency in both written and spoken English.
  • Good communication and interpersonal skills, with the ability to work collaboratively across teams.
  • Positive attitude, reliability and a proactive approach to work.
