Administrator/Senior Administrator – Data Protection

A new and exciting opportunity has arisen within our JTC legal department for an ambitious Administrator/Senior Administrator to join our expanding Data Protection Team.

Purpose of job

The Administrator/Senior Administrator will report to the Data Protection Governance Officer (Legal) supporting all jurisdictions where JTC is present and working on protection and general support to the Legal team.

Essential Requirements
  • Proficient in use of Microsoft Word, Excel and Power Point
  • Strong interpersonal skills
  • High level of accuracy and excellent attention to detail
  • Ability to maintain a high level of confidentiality and discretion
  • Strong working knowledge of Viewpoint (or similar systems) desirable
  • Relevant experience in a similar role is essential
  • Professional qualification/studying towards professional qualification (financial services) is desirable
Main Responsibilities and Duties
  • Working alongside the DPGO to ensure data protection registrations (“DP Registrations”) are completed in a timely fashion for all affected jurisdictions globally (to include liaising with Administration teams to confirm instructions for DP Registrations fees to be charged and following the Recommendation For Payment process to ensure the relevant fees are billed accurately);
  • Audit internal client lists against current DP Registrations on official websites, e.g. the Jersey Office of the Information Commissioner and the Jersey Financial Services Commission;
  • Assist with preparation of data subject access request response packs where needed;
  • Assist with data protection governance, e.g. compiling of data protection risk monthly reports, horizon scanning of legal and regulatory development;
  • Assistance with data protection project work, e.g. reviewing contracts to ensure appropriate statutory safeguards for international transfers are in place;
  • Creating, amending and formatting of legal documents such as policies and procedures, privacy notices, administration agreements, letters and trusts documentation;
  • Proof-reading legal documents;
  • Preparation of presentations using applicable software and liaising with other internal teams such as Marketing where required;
  • Ad-hoc assistance with administrative tasks related to data protection work as required by the DPGO;
  • General administrative assistance including tasks such as printing, photocopying, preparing packs of documents for signature, drafting of Recommendations for Signing, arranging social events and business travel;
  • Adherence to JTC Group Risk & Compliance procedures in relation to regulatory requirements and AML legislation;
  • Adherence to JTC core values and expected behaviours.
