Senior Manager – Transfer Agency

ROLE OVERVIEW

PURPOSE OF JOB

Oversee the effective management of a team(s), ensuring a professional and comprehensive administration service is provided to existing and prospective clients and in line with strategic objectives set by the Cayman Board.

MAIN RESPONSIBILITIES AND DUTIES

To manage the activity across assigned operational teams ensuring the teams:

  • Respond to all investor/client queries and requests received via telephone, post, fax or email effectively and accurately while delivering exceptional client service.
  • Timely and accurate capturing, execution and settlement of all investor subscription, redemption, stock transfer, conversion and switch transactions and any other fund activities as it arises.
  • Perform full reconciliation processes.
  • On-board new funds and other fund activity events as the need arises – fund/share class launches and closures, mergers, conversion activity etc.
  • Prioritising workload and delegation to ensure that service delivery timeframes are met across the Cayman and Mauritius teams.
  • Understand the TA system and enhance the relevant processes and controls in order to perform daily operational processes.
  • Completion of internal and external reporting in accordance with relevant Service Level Agreements, direct requests from clients or other parties. Including MI, KPI and regulatory reporting as required.
  • Attendance and representation at the Client service reviews as required.
  • People management of direct reports, also ensuring that you lead and participate in the support, training and development of all personnel across the team and generate a culture of teamwork across Cayman and Mauritius.
  • People management of both the local team in Cayman as well as team in Mauritius.
  • Lead and support on key operational projects.
  • Strategy and growth of the team and business by identifying areas for process/client experience improvement and ongoing planning of the future construct of the team.
  • Through understanding of the system and processes, drive efficiencies and risk-reduction initiatives.
  • Ensure that all JTC policies and procedures are adhered to and an annual review evidenced.
  • Analysis of all breaches and complaints to address root causes and updating processes and procedures as required.
  • Adhere to JTC core values and expected behaviours.
  • Attend and conduct where necessary regular team/division meetings ensuring the appropriate employees remain appraised of any developments or changes within the Group.
  • Identify areas for improvement in the department and put in place operational changes.
  • Conduct annual appraisals and interim reviews for Managers and Assistant Managers of the team, setting SMART objectives.
  • Any other duties as deemed necessary or defined by Management and/or Cayman Board.

ESSENTIAL REQUIREMENTS

  • Experience working with Cayman domiciled funds.
  • Knowledge of transfer agency administration and the regulatory environment is highly desirable.
  • Knowledge and understanding of CIMA regulatory and AML environment highly desireable.
  • People management and leadership skills.
  • Ability to review and resolve complex issues.
  • Excellent planning and organisation skills.
  • Ability to work on own initiative.
  • Effective verbal reasoning and numeric skills.
  • Good keyboard skills to include MS Excel and ability to learn systems used within the business.
