Senior Administrator – Finance Operations

ROLE OVERVIEW

PURPOSE OF JOB

We are seeking a skilled Senior Administrator to join our Group Finance team. This role offers a unique opportunity to be actively involved in a group-wide billing transformation project, where you will be responsible for supporting and driving improvements in our finance billing processes across multiple jurisdictions. You will work closely with the project team to implement new systems and solutions, ensuring that billing operations are efficient, accurate, and compliant.

Upon successful completion of the transformation project, the role will transition to the business-as-usual Accounts Receivable (AR) function. In this phase, you will continue to oversee and manage the billing process across multiple jurisdictions, with a focus on maintaining high standards of accuracy, compliance, and efficiency. As Senior Administrator, you will coordinate billing operations, resolve complex billing issues, and support the finance team in achieving business objectives in a timely and compliant manner.

MAIN RESPONSIBILITIES AND DUTIES

  • Support the group-wide billing transformation project by work closely with finance and client administration teams to review existing clients billing files configuration and associated documentation.
  • Implement revised client billing file setup in line with JT’s recently defined standards and principles.
  • Validate billing data, fee structures and client setups. Identify data quality issues, inconsistencies, or gaps in billing files and escalate appropriately.
  • Maintain accurate records of transition activity, decisions, and outcomes.
  • Support testing, validation, and sign-off of transitioned billing files ensuring billing outcomes align with client agreements, fee schedules, and contractual terms.
  • Upon successful completion of transformation project, oversee end-to-end billing processes across multiple jurisdictions, ensuring compliance with local and international laws and regulations.
  • Prepare, review, and validate complex invoices as per contractual requirements and applicable jurisdictional standards.
  • Liaise with clients, stakeholders, and internal teams to resolve billing discrepancies and clarify billing queries.
  • Maintain comprehensive records of all billing-related documentation and correspondence.
  • Ensure timely generation and delivery of invoices, proactively following up on outstanding items.
  • Support annual fee reviews by coordinating with the line manager, Commercial Office, and administration teams to set fee increases, implement new fees, and manage review, approval, and billing.
  • Establish and maintain strong working relationships with key internal stakeholders to resolve issues related to billing and drive continuous process improvement and innovation leveraging industry trends and new technologies.
  • Any other duties as deemed necessary by Management.

ESSENTIAL REUIREMENTS

  • Proven experience in billing, accounting, or finance administration roles, with demonstrated expertise across multiple jurisdictions.
  • Previous exposure to ViewPoint and/or Quantios Core solutions are an advantage.
  • Experience in supporting business transformation projects is highly desirable.
  • University degree in Finance, Accounting, Business Administration, or a related field preferred.
  • Professional certifications (e.g., AAT, ACCA, CPA) are an advantage.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) is essential.
  • Excellent attention to detail and a high level of accuracy in preparing and reviewing invoices and documentation.
  • Strong problem-solving abilities and an analytical mindset.
  • Ability to manage multiple tasks, prioritise workload, and meet tight deadlines in a fast-paced environment.
  • Excellent proficiency in both spoken and written English.
  • Strong communication and interpersonal skills, with ability to build relationships across different jurisdictions, functions and with external stakeholders. 
  • Strong team player with excellent interpersonal skills and ability to collaborate effectively.
  • Experience in training or mentoring team members is highly desirable.
