ROLE OVERVIEW
PURPOSE OF JOB
This Business Support role is based in London, alternating between the two London office locations, to primarily support the Corporate team who are based in London.
The employee will be required to provide business support to the Corporate team which will include company secretarial administration, management of post, couriers, in-coming calls, arranging meetings as and when required, management of meeting room calendars and management of meetings.
This is an interesting and diverse professional administration role which requires someone willing to undertake the CGI professional qualifications who has excellent organisational skills, fully competent with Microsoft Office Tools and who delivers work with a high level of accuracy.
MAIN RESPONSIBILITIES AND DUTIES
- Manage/ sort/ scan all incoming and outgoing Corporate mail and distribute accordingly in line with dedicated processes and SLAs.
- Corporate team company secretarial administration.
- Corporate company searches and filings with Companies House.
- Corporate World Checks.
- Corporate team Viewpoint administration.
- A dotted line report into the local ICS Operations Associate Director to support with visitor access and ensure security and sign-in processes are adhered to by following the relevant building procedures.
- Work alongside the London Office Support role, to manage JTC hospitality for client and internal meetings/ offsites.
- Meet and greet visitors (in person or on the telephone) in a professional yet friendly manner, maintaining the expected JTC standards.
- Answer telephone calls and redirect to relevant employee or refer any queries appropriately.
- Co-ordination of couriers, notifying of delays, ensuring accurate records are kept of couriers sent and received.
- Maintain safe, clean and professional meeting rooms for visitors; setting up meeting rooms and boardrooms and provide refreshments, liaising with the meeting organiser to ensure the requirements are met.
- Tidy up meeting rooms and boardrooms once meetings have finished.
- Reconciliation of Companies House records for potential revenue opportunities where clients use JTC address without knowledge.
- Processing of registered office post for rest of the London business (manage/ sort/ scan).
- Adhere to Risk & Associated Compliance procedures in relation to regulatory requirements and AML legislation.
- Adhere to JTC core values and expected behaviours.
- Awareness and adherence to contractual and statutory obligations under the Group’s policies, procedures and guidelines, including the Group’s core values and expected behaviours.
- Any other duties as deemed necessary by Management.
ESSENTIAL REQUIREMENTS
- Excellent communication skills (both written and oral).
- High level of accuracy and attention to detail.
- Ability to work as part of a team, but on occasion work alone due to being located in another location.
- Ability to work to tight deadlines.
- A willingness to learn and develop in the role.
