ROLE OVERVIEW
PURPOSE OF JOB
We are hiring for a permanent Senior AML/KYC Administrator to reinforce our dynamic and growing team in the Fund Services business. You will be dealing with Anti-Money Laundering and Counter Financing Terrorism matters and will be responsible for maintaining up to date, complete and well-organized client records in the database and hard copy files. If weaknesses are identified in the existing records, you will be responsible for taking action to ensure a satisfactory level of compliance is obtained.
MAIN RESPONSIBILITIES AND DUTIES
- Perform ongoing due diligence, AML/KYC, KYT and KYA reviews for onboarding, periodic review and remediation cases in accordance with internal policies, Luxembourg regulatory requirements and client service standards.
- Analyse ownership and control structures, structure charts and client fund structures, including real estate, private equity and other alternative fund structures, to identify AML/CFT risks and determine applicable due diligence requirements.
- Conduct AML gap analyses to identify outstanding documentation, remediation actions, compliance deficiencies and weaknesses in client records.
- Prepare Risk Assessment Matrices (RAMs), Tax Assessment Matrices (TAMs) and associated due diligence assessments, ensuring accurate risk classification, rationale and supporting documentation.
- Assess and document risk factors including adverse media, sanctions, politically exposed persons (PEPs), tax considerations and other relevant AML/CFT indicators.
- Coordinate the collection of due diligence documentation through written correspondence, meetings and telephone discussions with clients, intermediaries and internal stakeholders.
- Act as a first line point of contact for clients and internal stakeholders regarding AML, KYC, KYT and KYA requirements, responding to requests and providing clear, timely guidance to support quality service delivery.
- Manage periodic review and remediation processes, taking ownership of assigned tasks and ensuring milestones, deadlines and deliverables are met.
- Set up, review and maintain client profiles, AML/KYC files and due diligence records within ViewPoint and other internal systems, ensuring documentation is uploaded, tracked, retained and kept accurate and up to date.
- File and record legal and due diligence documentation as required by CSSF, Luxembourg law and internal procedures.
- Escalate complex, high-risk or incomplete cases to management and Compliance in line with internal escalation procedures.
- Participate in periodic audits, compliance reviews and risk sample checks, supporting follow-up actions where required.
- Ensure effective understanding of AML/KYC processes and strict adherence to applicable policies, procedures and controls.
- Support the Assistant Manager in monitoring deliverables, prioritising workload and ensuring the timely completion of ongoing due diligence activities.
- Help and support to junior team members and develop strong working relationships across internal departments.
ESSENTIAL REQUIREMENTS
- At least three years’ relevant experience in AML/KYC, transfer agency, fund administration or a comparable regulated financial-services environment, including supervisory or quality-control responsibilities.
- Degree or equivalent professional qualification, preferably in law, compliance, finance, business administration or a related discipline.
- A recognised AML/KYC qualification, such as ACAMS or ICA, is desirable.
- Sound working knowledge of Luxembourg AML/CFT and counter-proliferation financing principles, financial sanctions, PEP and adverse-media screening, beneficial ownership, source of funds and source of wealth, and the risk-based approach.
- Practical experience with client onboarding, periodic and trigger-event reviews, remediation and registration of client entities and related parties in a core transfer agency system.
- Understanding of investment fund structures and entity types, including individuals, corporates, partnerships, trusts, foundations, regulated financial institutions, pension arrangements and investment funds.
- Understanding of outsourced operating models, service levels, oversight, audit and access rights, incident escalation, confidentiality, data protection, information security, business continuity and exit planning.
- Excellent written and spoken English, with the ability to produce concise, evidence-based case summaries and escalation reports.
- High proficiency in Microsoft Office and the ability to learn specialist AML and transfer agency applications.
- Strong judgement, integrity, attention to detail and the confidence to stop and escalate work where requirements, evidence or approvals are unclear.
- Ability to manage high volumes and competing deadlines without compromising quality, confidentiality or control standards.
