Senior Administrator – Share Plan Team - Employer Solutions

ROLE OVERVIEW 

TEAM OVERVIEW

The Senior Administrator will report into the Senior Manager within the Employer Solutions Share Trust Team. They will be responsible providing support on a portfolio of Employee Share Trusts, ranging from arrangements for private companies with awards for the benefit of senior executives only, to FTSE100 companies with a suite of HMRC approved and unapproved share plans for the benefit of all employees.

PURPOSE OF JOB

The Senior Administrator will be a secondary point of contact for these clients and will be responsible for helping to maintain positive client and intermediary relationships. Additionally, the Senior Administrator will play a key role in ensuring ongoing adherence to JTC’s Risk & Compliance policies and procedures in respect of the Team’s clients.

The post holder will be responsible for the following, in an efficient and timely manner:

  • Assisting with the onboarding of new clients, to include the collection of CDD / KYC.
  • Opening of Trust bank and custody accounts.
  • Arranging Trustee meetings and the preparation of meeting minutes.
  • Preparation of Share Plan related transactions (e.g. share purchase, sale and transfer instructions).
  • Preparing Trust payments.
  • Provision of client reporting.
  • Undertaking Periodic Trust Reviews, including the refreshing of CDD / KYC and the clearing of any associated action points.

The Team is client facing and as stated above the candidate will assist servicing clients, preparing the above tasks for review by authorised signatories.

MAIN RESPONSIBILITIES AND DUTIES

  • Onboarding of new clients / establishment of new Trusts, working with other JTC teams were required.
  • Preparing minutes to formalise Trustee decisions.
  • Assisting with receipt of Trust contributions.
  • Arranging Share Plan related Trust transactions.
  • Conduction AML and risk reviews for new and current clients.
  • Collaboration with internal teams to service clients.
  • External communication with clients and their advisors.
  • Supporting and mentoring new / more junior team members when required.
  • Reducing risk of errors by following set procedures.
  • Ensuring careful consideration is given to all communications made externally – standard JTC format to be applied.
  • Ensuring all work is completed in a timely manner and is accurate.
  • Taking part in ad-hoc project - any project deadline will need to be met along with daily workloads.
  • Adhere to risk and associate Compliance procedures in relation to regulatory requirements and AML legislation.
  • Completion of a timesheet to accurately record time to ensure all billable activity is invoiced to clients.
  • Recording and bookkeeping of transactions.
  • Adhere to JTC expected behaviours and core values.
  • Attending conferences, CPD training and other industry events, both online and on occasion in person.
  • Any other duties as deemed necessary by Management.
