We currently have an exciting opportunity for a Secretary, Corporate Services to join our dedicated office based in Amsterdam.
As Secretary to the office you will provide key administrative and secretarial support to the team across all departments including; Management team, Corporate Services, Compliance department and the Finance department.
Day to day responsibilities;
First point of contact for people calling into the business or visiting the office; providing a professional and proactive approach to enquiries.
Managing the incoming and outgoing documents, including distribution, storage (eg scanning; hard copy or electronically) efficiently and accurately and sending postal or electronic mail as directed.
Support the various teams in their activities and be prepared to work effectively on a number of different activities simultaneously.
Responsible for agenda management; liaising with meeting attendees, taking agenda points and circulating agendas prior to meetings.
Under instruction organise meetings and when requested arrange travel, including drafting itineraries, booking travel tickets, arranging transport (eg, taxis) and managing expense claim submissions.
Provide general secretarial and administrative support to the teams; preparing and sending correspondence (MS Word, MS Excel and MS PowerPoint as appropriate) and arranging for third party signatures as required.
Undertake document collation, copying, binding and distribution in regard to the above.
Responsible for the coordination, registration and archiving of relevant information including keeping client files up to date, creating new client files, client contact details, keeping the team appraised of changes in these so they can act appropriately.
Provide standard legal activities, including the legalization of documents, the organization of General Meetings of Shareholders, the supervision of the establishment and liquidation of client companies and the provision of registration with the Chamber of Commerce
The successful candidate will have proven experience in the trust, legal or notary environment or business services environment. They will have a minimum MBO qualification (or equivalent) and it is a prerequisite that candidates are demonstrably proficient to a business fluency in Dutch and English, written and verbal.
