Receptionist & Administrative Assistant

ROLE OVERVIEW

PURPOSE OF JOB

To provide statutory and administration support.

MAIN RESPONSIBILITIES AND DUTIES

  • Responsible for answering all incoming calls, directing them appropriately and updating the phone log.
  • Responsible for the reception area and setting up of meeting facilities.
  • Greet visitors/clients in a professional manner, direct them accordingly and update the visitor’s checklist.
  • Maintain the stock of stationery and liaise with suppliers for re-orders.
  • Responsible for courier processing (recording incoming couriers, updating the control sheet and email to relevant Director).
  • Assist the HR department with conference bookings and registrations for external trainings.
  • Responsible for taxi booking and food orders for employees working overtime.
  • Assisting with office initiatives such as organising office events and adherence by staff/visitors to office measures put in place.
  • Provide back up and support to other teams including secretarial work, reception cover and general office administration.
  • Adhere to Risk & Compliance procedures in relation to regulatory requirements and AML legislation.
  • Responsible to prepare JTC Fees (Transfer Instruction and Recommendation for Payment).
  • Responsible to link E-advices and E-statements on ViewPoint.
  • Responsible for DHL Invoices processing.
  • Adhere to JTC core values and expected behaviours.
  • Any other duties as deemed necessary by Management.

ESSENTIAL REQUIREMENTS

  • 1-2 years’ experience in a similar position.
  • Good communication skills.
  • Strong time management and organizational skills.
  • Attention to detail.
  • Proficient in Microsoft Office.
