Executive Assistant to CEO – PLC Board

ROLE OVERVIEWPURPOSE OF JOB

Provide high-level executive support to the CEO of a publicly listed company. The Executive Assistant will manage a broad range of operational functions, ensuring the CEO’s affairs run smoothly and efficiently. The role requires the utmost professionalism, discretion and adaptability in supporting the essential needs of the CEO personally and professionally.

MAIN RESPONSIBILITIES AND DUTIES

  • Complex Diary & Schedule Management: Proactively manage an ever-changing diary, anticipating requirements and preparing forward plans for Board, Committee, and senior stakeholder meetings.
  • Travel Management: Organise all aspects of high-volume, international and domestic travel for the CEO and his family – including itineraries, visas, transportation, accomodation, and logistical requirements; ensuring seamless coordination between the CEO’s homes across various geographies.
  • Board & Meeting Preparation: Assemble and distribute (where relevant) all Board and Committee packs, briefing notes, agendas, and supporting materials and in advance of meetings, ensuring ample time for review.
  • Stakeholder Management: Act, where required, as a first point of contact for the CEO, managing both internal and external relationships, and prioritising contacts and meetings as necessary. Maintain a detailed contact database and ensure communications are handled with utmost professionalism and confidentiality.
  • Family Office Support: Provide sensitive support to the CEO’s family; coordinate family logistics, appointments, travel arrangements, and oversee household administration as required.
  • Document Management: Draft, review, and manage a wide range of confidential correspondence, reports, and presentations, ensuring information is always current and secure.
  • Project Coordination: Support key CEO-led initiatives, ad hoc projects and make sure follow-up actions are tracked through to completion – extending to offsite planning.
  • Discretion & Confidentiality: Maintain strict confidentially at all times regarding sensitive information, both professionally and personally, with sensitivity to complex, high-profile environments.
  • Other Duties: Undertake additional duties as required to ensure the CEO’s office and personal affairs are managed at the highest standards.

ESSENTIAL REQUIREMENTS

  • Significant prior experience supporting a plc board-level CEO or equivalent within a large and complex organisation.
  • Track record of excellence in complex diary, travel and stakeholder management at senior level.
  • Exceptional planning, organisational and multitasking skills with a proactive, anticipatory approach.
  • Meticulous attention to detail and ability to deliver high-quality outputs within tight deadlines.
  • Superior written and spoken communication; confidence in preparing executive summaries and Board documentation.
  • Highest standards of confidentiality, discretion and professionalism.
  • Able to work flexibly, including out-of-hours support as needed due to the international nature of the role.
  • Tech savvy with a mastery of MS Office suite (including Outlook, Word, PowerPoint, Excel); familiarity with Board portal technology an advantage.
  • Experience providing personal/family support to UHNWI or similar, including home/household coordination, is highly desirable.
