ROLE OVERVIEW
PURPOSE OF JOB
The Executive Assistant’s primary role will be to support the Management Team in the Austin office with various administrative functions.
MAIN RESPONSIBILITIES AND DUTIES
- Coordinate meetings and conference calls.
- Make travel arrangements.
- Maintain office files, both electronic and hard copy.
- Update office wide database of call notes relating to various marketing opportunities and current clients.
- Maintain adequate supply of office supplies.
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
- Maintain comprehensive and accurate records.
- Perform minor accounting duties.
- Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Answer phone calls in a polite and professional manner.
- Welcome visitors and identifying the purpose of their visit before directing them to the appropriate department.
- Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
- Represent JTC in a professional manner, displaying the ethical behavior we expect in all interactions, both internal and external.
- Adhere to JTC core values and expected behaviors.
- Any other duties as deemed necessary by Management.
ESSENTIAL REQUIREMENTS
- Bachelor’s Degree.
- Extremely strong attention to detail.
- Proficiency in Microsoft Word, Microsoft Excel and Microsoft Outlook.
- Excellent written, verbal and interpersonal communication skills.
- Proven ability to multi-task and work well under pressure.
