ROLE OVERVIEW
PURPOSE OF JOB
Provide post administrative support services to clients in the day-to-day operation of the BVI office.
MAIN RESPONSIBILITIES AND DUTIES
Work in conjunction with the Line Manager and provide administrative support including but not limited to:
- The incorporation of companies, reserving company names.
- Preparing Certificates of Incumbency and Good Standing.
- Liquidation of companies and assisting with the day-to-day administration of client companies.
- Creating files and maintaining them will be an important part of the job.
- Completing the review process for client entities and be aware of risk exposure, including the fulfilment of responsibilities under the review procedures.
- Awareness and adherence to contractual and statutory obligations under the Group’s policies, procedures and guidelines, including the Group’s core values and expected behaviours.
- Check, maintain and ensure accuracy of the central diary system relevant to client portfolio managed, to ensure deadlines are recorded and subsequently achieved.
- Maintain accurate and up to date records of client entities (including desktop), ensuring all statutory obligations are complied with.
- Adhere to CPD requirements in accordance with qualification level and in-house procedures.
- Adhere to JTC core values and expected behaviours.
- Any other duties as deemed necessary by Management.
TRUST AND TRUSTEE DUTIES
- Responsible for the management and administration for a portfolio of trusts.
- Maximising and strengthening client relationship with beneficiaries and advisers in order to have appropriate knowledge to carry out trusts purposes and meet the needs of the beneficiaries.
- Maintaining current information on beneficiaries and their changing needs and circumstances in order to prudently carry out Group’s fiduciary duties.
- Proactively organising and meeting principals and beneficiaries in person to resolve their concerns and referring complex issues to management and ensuring trusts and bank policies are followed.
- Analysing and interpreting trust deeds and related documents with a focus on reviewing trust documents for legal, tax, administrative and investment issues.
- Authorising transactions and acting as a representative to beneficiaries, advisers and colleagues.
- Maintaining awareness of operational risk, taking action to limit exposure to risk and identifying issues to management.
- Any other reasonable duties as assigned by management.
ANTI-MONEY LAUNDERING AND COUNTER TERRORIST FINANCING OBLIGATIONS
As an employee of JTC (BVI) Limited and its subsidiaries, you are required by BVI law to adhere to its internal policies and procedures in an effort to combat and deter Money Laundering, Terrorist Financing (“MLTF”) and Proliferation Financing (“PF”) to further and/or promote the cause of any actions leading to weapons of mass destruction.
Specifically, you are required to:
- Comply with JTC (BVI) Limited and its subsidiaries compliance manual and other internal control systems including all measurers relating to AML/CTF mechanisms.
- Disclose any suspicion of MLTF you may come across in the course of your daily duties or interactions with clients and immediately bring these concerns to the attention of the designated Money Laundering Reporting Officer (“MLRO”) and/or senior management.
- Report using the Internal Suspicious Form (“iSAR”), of any suspicions you might have regarding a client to the designated MLRO.
- Have a reasonable general knowledge of the nature of the clients you are assigned, to be able to recognised suspicious activities or transactions. Remain vigilant to recognise activities/transactions that are unusual in the context of their understanding of the particular client’s business.
ESSENTIAL REQUIREMENTS
- Able to communicate via written and verbal form.
- Proven experience of working within the financial services sector.
- Prior experience in a trust company environment.
- Experience with the Registry of Corporate Affairs requirements for the incorporation, liquidation and filing of other matters both online and manually.
